Understanding the tenant portal

What tenants see, the pending tenancy booking form flow, and how they pay rent, submit maintenance, and view documents.

Tenants sign in and are redirected to the Tenant Portal (not the landlord dashboard).

When the tenancy is pending: the booking form

If a tenant has a pending tenancy (e.g. they’ve been added to a lease that isn’t yet active), they are asked to complete a booking form before they can use the full portal. The flow is:

  1. Complete your account details (booking form) – Personal details, employment, emergency contact, references, address, and any required documents (e.g. ID, proof of address). They click Save & Continue to submit.
  2. Awaiting approval – After submitting, the tenant may see “Awaiting Approval”. The landlord or agency reviews the application and may run referencing. The tenant can use Refresh to check if they’ve been approved; once approved, they can continue.
  3. Document signing – Sign the tenancy agreement (e-sign) via the link provided.
  4. Deposit payment – Complete the deposit payment step if required.

If they have more than one incomplete tenancy, the portal will show each one so they can open and complete the booking form for each.

After the tenancy is active

  • Home – Overview and quick actions.
  • Rent & payments – View due amounts and payment history; pay online if enabled.
  • Maintenance – Submit and track maintenance requests.
  • Documents – View leases, compliance docs, and other documents you’ve shared.

Landlords and agencies manage properties and leases from the Dashboard; tenant data (e.g. booking form submissions, maintenance requests, payments) is linked to the same properties and leases.
